Hamilton and Alexandra College is a regional school in Victoria, with around 450 students from early learning through to Year 12. Previously, some of our student records were still kept on paper. Medical notes were in a folder in the nurse’s office. Behaviour notes were in the learning management system we used at the time. Awards and commendations each had their own separate databases, usually kept by one staff member. We had all the same information we have now, just spread across different places.
Without a central view, seeing the full picture of a student was nearly impossible, and important details slipped through the cracks. Moving our pastoral care into Toddle changed that by bringing everything together into a single, accessible record.

Awards and recognition were our clearest paint point. Every year, preparing for our awards ceremony relied heavily on one staff member’s spreadsheet and a last-minute scramble asking teachers to resubmit achievements. Deserving students were sometimes missed, simply because tracking down unrecorded accomplishments after the fact was difficult.
Now, all the information we need is on Toddle. A teacher can open a student’s profile and see everything recorded about them – the positive and the negative – without having to ask anyone.
Reviewing a student’s medical patterns over a whole term
When medical notes are recorded on paper, they remain isolated moments. Bringing them into a single, shared digital space changed our entire approach to student care.
The immediate benefit was communication. When a student visits first aid, a quick update can go home straight away, so parents know what happened and what support their child received. But the true value comes over time. But the value also builds over time. With health information recorded in one place, staff can see whether a student’s needs are changing or whether there are recurring concerns that need further attention.
For students managing chronic conditions such as Type 1 diabetes, that record can include blood sugar levels, time of day and symptoms alongside routine first-aid visits. Having those details together gives staff the context they need to support the student day to day.
When families go to medical appointments, they aren’t relying on memory or fragmented paper logs. We can provide their doctors with a clear, accurate picture of how the child fares throughout the school day. That level of insight simply wasn’t possible when notes were trapped in a binder.
Behaviour and learning finally sit in one view, so support is targeted
When a serious issue reaches my desk before a parent meeting, Toddle’s AI summary gives me a complete overview of a student’s behavioural journey. Built-in permissions keep sensitive records secure, so staff only see what is appropriate for their role.
The real breakthrough is having behavior and learning data side by side. Through our pastoral care dashboard, we see how a student’s wellbeing directly impacts their classroom performance, allowing us to intervene with targeted support early on.
Looking back, our student data was trapped in paper folders and disconnected databases. Moving to Toddle finally brought all of it under one roof. What has changed is not simply the amount of information we hold, but what we can do with it.
When achievement, learning, wellbeing and health records can be considered together, staff can notice patterns sooner, prepare for conversations with better context and make more informed decisions about support. We are no longer trying to reconstruct a student’s story from separate systems; we can see that story develop over time.
